Document Scanning - Includes the ability to scan hard documents and convert them to an electronic image saved to a predefined record locator or ID for easy retrieval.

Indexing - As new documents are loaded and scanned to the main record locator id, a predefined subcategory can be assigned for document segregation which enables efficient and fast searching capabilities later for a specific document.

Web Based – Clients can access their documents securely online using our web portal via a Citrix login allowing for access 24/7.

Document Retrieval - Capability of retrieving and printing scanned documents from a standard inquiry screen. Documents are linked to document ID and/or other customer delivery requirements. Retrieval from remote desk tops improves our clients’ ability to share information across the organization.

Fax/Print/Email – Imaged documents can be printed, saved, emailed or faxed from both MGC and client remote desktops.

 
 
 
 

The process of implementing an electronic document management system involves more than the electronic copies of those documents. MGC also has a detailed process to handle the organization, management and disposal or return of the paper documents after they have been scanned and digitized.

Choosing the Location – MGC can arrange for pick up of customer’s documents on a regular schedule and have them taken to its secure scanning location or customers can arrange for delivery of their documents to the scanning facility as needed.

Constant Access - During the electronic document management process, our clients always have immediate access to any document we are working with, even if that document is on location at our scanning facility. We will instantly find, scan, fax or e-mail any document for which there is an immediate need.

Hard Copy Return or Disposal - MGC will provide on-site secure storage during the scanning process. Our clients can choose to have MGC securely destroy the hard copies once imaged or return the hard documents to them.

File Storage – Our clients can choose to have MGC store the paper documents short or long term. The file storage facilities provided by MGC meet all federal requirements for storage of federal records and financial assets.
